Feedback will protect your personal information (such as your name and contact details, known as ‘personal data’) and will not share it with other people unless you give your consent. Your personal information is protected by specific legislation:

  • The Data Protection Act 2018
  • 25 May 2018 onwards: General Data Protection Regulation (GDPR) (Regulation (EU) 2016/679)
  • Privacy and Electronic Communications (EC Directive) 2003

Feedback is committed to protecting and respecting your privacy and aims to be clear and open about how your data is used. We will not share your personal information with other people unless you give your consent and we won’t keep it for any longer than we need to.

This policy explains how we collect, manage, use and protect your personal data, including how we work with third parties.

For the purpose of the Data Protection Act 1998 (the Act), we are a Data Controller, registered with the Information Commissioner’s Office, Registration Number ZA079030

Understanding your rights

It is important that you understand your legal rights around your personal data and how we may use it.

Right to be informed

This Privacy Policy ensures that you are informed about how we will process your personal data. You might also see messages on some of our forms (or otherwise when we collect personal data from you) that explain why we ask for specific pieces of information from you.

Right of access

You have the right to access a copy of your personal data and receive certain information about what the data is and how and why we are processing it. Please note that we will require you to prove your identity before we disclose any information.

Right to rectification

If you feel that any of the information that we hold about you is incorrect, do let us know so that we can look into it.

Right to object

You have the right to object to the processing that we have outlined in this policy.

Right to erasure / to be forgotten

You have the right to request that we delete your information and can discuss this with us at any time.

You should know that there are some circumstances where we may need to keep your details, for example, if it is necessary to comply with a legal obligation on us. If this situation occurs, then we will explain and discuss these circumstances with you.

Right to restrict processing

You can request that we restrict processing of your data, as an alternative to deleting it – this means that we will keep the data but stop processing for most purposes. You may want to exercise this right if you feel that the data is inaccurate, that our processing of it is unlawful, whilst we progress a request from you to object to processing, or if we have no further need of the data, but you require us to keep it in relation to the establishment, exercise or defence of a legal claim.

Rights related to automated decision making

You have rights to avoid being subject to decisions based solely on automated processing (including profiling) which has a significant effect on you. At Feedback we do not carry out any such processing.

Right to data portability

You have the right to request a copy of certain personal data to have it transferred to another organisation in certain circumstances.

You should know that there are some circumstances where these rights may not apply, but where this is the case we will always explain this to you. Please do contact us if you have any questions or concerns on how we collect and use your personal data, or on your rights, as we are always happy to speak to you. You also have the right to make a complaint direct to the UK’s data protection authority, the Information Commissioner’s Office (ICO). The ICO can be contacted at: https://ico.org.uk/global/contact-us/and concerns can be also logged via the ICO website.

Information we may collect from you:

  • Information that you provide by filling in forms on our site www.feedbackglobal.org. This includes information provided at the time of registering to use our site, making a donation, subscribing to our newsletters, surveys, or requesting further services.
  • Material that you post or contribute to our site (e.g. in comments or wikis).
  • If you contact us, we may keep a record of that correspondence.
  • Details of your visits to our site, including which pages you visit and what you do. This is to enhance your experience of the site and for logged-in members to ensure access to restricted resources.

The personal data that we collect about you will be based on how you interact with us, but we collect the following information from many of our supporters:

  • Your name;
  • Your postal and email addresses;
  • Your telephone number or numbers;
  • Details of any correspondence that we have had with you.
  • How you would like to hear from us, and when you told us this;
  • Details of any donations that you have made to us;
  • Whether or not you have signed up to the Gift Aid Scheme, and when you did so;
  • Your date of birth;
  • Any fundraising appeals that you may have responded to;
  • Events that you have taken part in or enquired about.

There is also other information that we may collect and hold in specific circumstances. For example:

  • Your bank account details if you set up a direct debit with us;
  • Health information that you give us if you are participating in an event, to help us to ensure your safety;
  • Campaigning actions that you have taken on our behalf;
  • If you are a volunteer or part of our local gleaning network;

Cookies

What are cookies?

A cookie is a small file which is placed on your computer by a site when you visit it. Basic cookies contain the site name and a unique user ID. The next time you visit that site, your browser checks to see if it has a cookie for it and sends the information contained in that cookie back to the site. The site then ‘knows’ that you have been there before, and can, for example, tailor your experience of the site. More sophisticated cookies allow you to do other things, like create accounts on a site or use an online shop.

Essential cookies

Some of the cookies we place on your computer allow you to do important things on our site, like make a donation or complete a campaign action. These facilities will not work without cookies.

Non-essential cookies

Google Analytics cookies help us to improve your experience of our site but are not essential to its basic functioning. We use these cookies to collect non-personal information about your computer, including, where available, your IP address, operating system and browser type, for system administration purposes and to measure our effectiveness. They also enable us to estimate our audience size and usage patterns. This is statistical data about our users’ browsing actions and patterns and does not identify any individual.

We use also cookies to help us deliver a better and more personalised service. If you are a registered member and you log in, they allow us to:

  • store information about your preferences, enabling us to customise our site according to your individual interests
  • speed up your searches
  • recognise you when you return to our site.

Third party cookies

Facebook, Twitter and LinkedIn cookies are examples of ‘third party’ cookies on our site. If you click a function on our website that is associated with these parties (eg to share or tweet a piece of information), they will place cookies on your computer. We do not take responsibility for these cookies, as to make use of these functions you will have already accepted the terms and conditions of use with the relevant party.

We embed videos on our site using Vimeo or YouTube, which sets cookies on your computer once you click on the video player. As you do not have to sign up to Vimeo or YouTube first in order to play these videos, you will not have accepted their terms and conditions. Can I refuse cookies?

Yes. You can use a setting on your browser which allows you to refuse to accept cookies. However, if you select this setting you will be unable to use certain parts of our site and it may not work smoothly.

Different browsers have different instructions for managing cookies and you may also be able to accept certain cookies and not others. For example, you may be able to refuse third party cookies.

Where we store your personal data

All information you provide to us is stored on our secure servers. Any payment transactions will be encrypted. We do not store sensitive financial information (such as credit card data) on our servers. Where we have given you (or where you have chosen) a password which enables you to access certain parts of our site, you are responsible for keeping this password confidential. We ask you not to share a password with anyone.

Disclosure of your information

We may disclose your personal information to third parties if:

  • we are under a duty to disclose or share your personal data in order to comply with any legal obligation, or in order to enforce or apply our terms of use or terms and conditions of sale and supply and other agreements; or to protect the rights, property, or safety of Feedback, our supporters, or others. This includes exchanging information with other companies and organisations for the purposes of fraud protection and credit risk reduction.

Access to information

The Act gives you the right to access information held about you. Your right of access can be exercised in accordance with the Act. Any access request may be subject to a fee of £10 to meet our costs in providing you with details of the information we hold about you.

How we use your information if you apply for a role at Feedback

We collect information from anyone who applies to work or volunteer at Feedback. We only use this information for our recruitment or employment purposes and it is entirely separate to our supporter data. As an applicant or employee, you are entitled to the same rights as our supporters, and these are outlined in our Rights section.

Applicants

When you apply to work or volunteer at Feedback we will ask for information about you and your work history to understand how your skills and past experience match the requirements of a role.

There are two circumstances where we might disclose details outside of Feedback as we process your application:
1. We will ask for details of referees, and we will contact them to verify the information that you have given us – when we contact them, we will share your name and the role that you have applied for. We contact referees on the basis of our legitimate interests as an organisation to understand applicants and their suitability for the roles they apply for.
2. Some roles also require us to obtain a disclosure from the Disclosure & Barring Service. This will be clearly marked in the advertisement, and so we will not give you further notice before we apply for this disclosure.

All candidates applying to work or to volunteer at Feedback will automatically have their application details saved and retained on our network for 6 months, details of candidates who are asked to interview but unsuccessful will be kept for 12 months.

If you would like for us to remove your personal details from our system at any time before that, please write to jobs@feedbackglobal.org to request this.

You should know that we always keep anonymous statistical information about applicants to develop our recruitment processes and for equality and diversity monitoring, but this does not contain any information that could be used to identify individual job applicants.

Employees

If you begin employment with us, we will put together a staff file, which will contain your information. We keep this information in this file secure and will only use it for matters that apply directly to your employment with Feedback.

We provide all of our employees with an internal privacy notice, which explains exactly how we process their data as an employee, including how we use their personal data in case of emergency, and how long we retain all of this information for.

Changes to our privacy policy

Any changes we may make to our privacy policy in the future will be posted on this page and, where appropriate, notified to you by email.
